The Position
The Development and Communications Coordinator works directly in support of the Chief Advancement & Philanthropy Officer (CAPO) and is responsible for assisting in the achievement of fundraising goals, maintaining existing donor relationships and securing new relationships, coordinating fundraising events, and overseeing the day-to-day management of assigned project workflow. The role is a full-time position that occasionally requires the ability to work advance-scheduled hours on weekends and evenings to support development events. This role supports the Development and Communication needs of both VisionLink and the VisionLink Foundation.
The position is based in Philadelphia, Pennsylvania.
Essential Functions:
Donor Stewardship:
- Oversee accurate gift processing practices, including timely gift entry, acknowledgment, and integrity of data
- Effectively manage the donor tracking database through the creation of profiles for prospective and current donors, accurate entry, and advanced reporting
- Manage donor relations, including the timely acknowledgment of donor gifts, by phone, and in writing.
- Track philanthropic requests, pledges, and contributions and assist with compiling reports on current and prospective donors
- Along with the Chief Advancement Officer, manage a pipeline of donors to welcome supporters at every level.
- As workload allows, grow a small portfolio of individual donors
Special Events Coordination:
- Along with the Chief Advancement Officer, strategically create a robust special events calendar
- Coordinate events of various sizes while engaging stakeholders and lead all pre-event and day-of logistics for special events
- As needed, work with event vendors and consultants
- Work in conjunction with the Chief Advancement Officer to ensure that VisionLink’s presence events conveys its mission, services and needs
Communications, Social Media, and Brand Recognition:
- Along with the Chief Advancement Officer, develop and implement strategic plans and processes to improve VisionLink brand recognition.
- Responsible for timely and consistent evaluation of internal and external stakeholder communication requirements.
- Along with the Chief Advancement Officer, develop a strategic calendar of communications content development and release timelines.
- Responsible for content and preparation of internal and external stakeholder-related materials, including event announcements and invitations, annual appeals, newsletters, and service and brand recognition
- Work with the Chief Advancement Officer and Chief Program Officer to develop content for the VisionLink website and VisionLink social media
- Monitor social media engagement, produce engagement reports and recommendations for improvement of brand recognition and service engagement
Administrative support of Chief Advancement and Philanthropy Officer:
- Assist the CAPO with scheduling meetings either virtual or in-person.
- Assist CAPO with coordination of the Development & Marketing Committee Meetings of the Board to include materials preparation and distribution, creation of timely reports, minutes taken during meetings
- Protects Agency’s value by keeping information confidential.
- Provide backup front desk coverage when onsite.
- In collaboration with the CAPO perform the responsibilities of organizational archivist by appropriately saving and documenting organizational items and
- Other duties as assigned by the CDO.
Qualifications and Experience:
- Demonstrate excellent organizational skills with the ability to prioritize a workload and multi-task while paying strict attention to detail
- Demonstrate solid project management skills, including the critical ability to coordinate and balance multiple projects in a time-sensitive manner
- Special events planning and coordinating
- Strong communication skills, both verbally and written
- Ability to work both individually and in a team environment
- Proven stakeholder management skills, demonstrating the ability to establish rapport with all levels of Staff, Board of Directors, Funders, and Donors
- Excellent oral and written communication and interpersonal skills.
- A Bachelor’s Degree, preferably in fundraising, public relations, project management, or a related field.
- High energy, outgoing, team player, and a passion for VisionLink’s mission is essential.
- Working mastery of computer programs including Microsoft Word, PowerPoint, Excel, and Sales Force
- Documented experience with nonprofit marketing
- Social media content development and the ability to analyze trends
- Raiser’s Edge or Donor Perfect software experience is preferred
